9. Chat Retention
Because customer-agent conversations can contain personal information, BuildingPlanNG applies a defined retention process to house-plan-related chat messages.
9.1 Six-Month Archive Point
Customer-agent house-plan messages become eligible for archival processing after they are more than six months old, subject to the operation of the retention system.
Archiving does not necessarily mean that the message is immediately removed from all systems. An archived message may continue to be retained where necessary for an authorized purpose.
9.2 Twelve-Month Deletion Point
Archived customer-agent house-plan messages that are more than twelve months old become eligible for permanent deletion.
Deletion remains subject to any applicable retention hold or other legitimate reason requiring the information to be preserved.
The twelve-month chat rule applies specifically to the customer-agent house-plan messaging system. It does not mean that every item of personal information associated with a customer is automatically deleted after twelve months.
10. Retention Holds
A message that would normally qualify for deletion may be preserved where there is a legitimate reason to retain it.
A retention hold may apply where information is reasonably required because of an unresolved customer complaint, an active dispute, a payment dispute, suspected fraud, suspected abuse, a security investigation, moderation or enforcement activity, a legal claim, anticipated legal proceedings, regulatory requirements or another documented legitimate operational or legal purpose.
Once the reason for the retention hold no longer exists, the hold may be released and the information may again become eligible for deletion.

When an eligible message is permanently deleted, BuildingPlanNG attempts to remove its associated stored attachment.
If an attachment cannot be safely removed, the corresponding message deletion may be skipped rather than proceeding in a way that could leave an unintended file behind.
This process is designed to reduce unnecessary retention of stored chat attachments.
12. Secure Chat Deletion
The BuildingPlanNG chat-retention process includes safeguards designed to help prevent accidental deletion.
Before permanently deleting an eligible message, the system identifies messages that satisfy the applicable retention criteria and checks for active retention holds. Retention holds are also rechecked during the deletion process.
The system handles associated attachments and performs the database deletion within a transaction. Relevant retention events and errors are also recorded.
The retention system records aggregate processing information, including eligible messages, held messages, successful deletions, attachment-deletion failures, attachment-deletion exceptions and database transaction failures.
13. Other Records Have Different Retention Periods
The six-month archive and twelve-month deletion process applies specifically to customer-agent house-plan chat. Different types of information may need to be retained for different periods depending on why the information is needed.
